Accordemy® Privacy Policy

Accordemy® (trading as “Accordemy®”, “we,” “us,” or “our”) is operated by Accord Worldwide, Inc. This Privacy Policy explains how we collect, use, disclose, and safeguard information when you:

  • visit or interact with https://accordemy.com (the “Website”); and/or
  • create an account, register for courses, or access content through our Learning Management System at https://lms.accordemy.com (the “LMS”); and/or
  • engage with our training and related services (together with the Website and LMS, the “Services”).

This Privacy Policy applies to our in-person classroom training, live virtual classes, self-led online training courses, and customized corporate training solutions for NGOs, government entities, private sector entities, and individual professionals.

If you do not agree with this Privacy Policy, please do not use the Services.

This Privacy Policy describes:

  • what information we collect;
  • how and why we use it;
  • how we share it and where it may be processed;
  • how long we retain it; and
  • the rights and choices available to you.

This Privacy Policy does not cover websites, products, or services that we do not control, even if they are linked from our Services.

We collect information that identifies, relates to, describes, is reasonably capable of being associated with, or could reasonably be linked to you (“Personal Data”).

A. Personal Information You Provide

You may provide Personal Data when you request information, submit an inquiry or RFQ, register for a course, enroll in training, create an LMS account, complete forms, or communicate with us.

This may include:

  • Identifiers and contact details: name, email address, phone number.
  • Professional details: job title, company/organization name, sector, and training interests.
  • Billing details: billing address and other information needed for invoicing.
  • Course and service information: course preferences, registration details, inquiry form data, RFQ information, and communications with us.
  • LMS account credentials: username and password (stored in a protected form) and account profile details for lms.accordemy.com.

B. Payment Data

Payments are processed by third-party payment processors such as Stripe and PayPal. We generally receive limited payment-related information such as:

  • payment status and confirmation;
  • transaction identifiers/receipts; and
  • billing details needed for accounting and fulfillment.

We do not store full credit/debit card numbers or full payment instrument details on our servers. Your payment information is handled in accordance with the payment processor’s privacy and security practices.

C. Automatically Collected Information (Website/LMS Usage and Device Data)

When you access the Services, we may automatically collect certain information, including:

  • Identifiers and technical data: IP address, browser type, operating system, device type, and device identifiers.
  • Usage data: pages/screens viewed, clicks, time spent, navigation paths, referring/exit pages, and access times.
  • Approximate location data: derived from IP address (e.g., city/country level).
  • Cookies and similar technologies: as described in Section 9.

We use Personal Data to operate, maintain, and improve our Services, including to:

  • Provide and administer Services: process registrations and orders; set up and manage LMS accounts; provide course access (including lifetime access to the online version of your course, where applicable); deliver course materials; and provide customer support.
  • Deliver training and related services: administer in-person training logistics; facilitate live virtual classes (including session links and attendance management); and tailor training solutions for organizational clients.
  • Process payments and accounting: process transactions through Stripe/PayPal; issue invoices/receipts; and maintain financial records.
  • Communicate with you: send administrative notices (e.g., confirmations, schedule updates, policy updates), respond to inquiries, and provide operational communications.
  • Marketing and outreach: send information about courses, insights, and offerings that may interest you. You can opt out of marketing communications at any time (see Section 8).
  • Security, fraud prevention, and compliance: detect, prevent, and investigate fraud or misuse; secure accounts and systems; comply with legal obligations; and enforce our terms.

If you are located in the European Economic Area (“EEA”) or the United Kingdom (“UK”), we process your Personal Data under the following legal bases, as applicable:

  • Contract necessity: to provide the Services you request (e.g., course registration, LMS access, training delivery, billing).
  • Legitimate interests: to operate and improve our Services, provide customer support, maintain security, prevent fraud, understand usage, and market our Services in a proportionate way (you can object in certain cases).
  • Consent: where required (e.g., certain marketing communications and non-essential cookies). You may withdraw consent at any time without affecting the lawfulness of processing before withdrawal.
  • Legal obligation: to comply with applicable laws (e.g., accounting, tax, and regulatory requirements).

We do not sell Personal Data.

We may share Personal Data with the following categories of recipients, to the extent necessary:

A. Service Providers (Processors)

We use vendors to support the Services, such as:

  • Payment processors: Stripe and PayPal (to process payments).
  • Virtual class platforms: e.g., Zoom (to deliver live virtual classes; may process participant identifiers such as name, email, device data, and session participation data depending on your settings and their service).
  • LMS and technical service providers: to host, operate, maintain, and support lms.accordemy.com and related infrastructure.
  • IT, security, analytics, and communications providers: for website security, hosting, email delivery, and performance measurement.

These service providers are authorized to use Personal Data only as necessary to provide services to us and are required to protect it in line with applicable contractual and legal obligations.

B. Corporate/Institutional Sponsors (Where Applicable)

If your enrollment is sponsored or arranged by your employer, donor, or institutional client (e.g., an NGO, government entity, or private company), we may share limited training administration information with that organization, such as:

  • registration status;
  • attendance; and
  • completion/certification status,

to the extent necessary for program administration and reporting.

C. Legal, Compliance, and Safety

We may disclose Personal Data if we believe it is necessary to:

  • comply with a legal obligation, court order, or lawful request;
  • protect the rights, property, or safety of Accordemy®, our users, or others; or
  • investigate and help prevent suspected or actual fraud, security issues, or unlawful activity.

D. Business Transfers

If we are involved in a merger, acquisition, financing, reorganization, or sale of assets, Personal Data may be transferred as part of that transaction, subject to appropriate confidentiality and notice requirements.

Accord Worldwide, Inc. is located in the United States, and our Service Providers may also process data in the United States and other jurisdictions. If you access the Services from the EEA/UK or other regions with data protection laws, your Personal Data may be transferred to, stored, or processed outside your country of residence.

Where required by law (including GDPR/UK GDPR), we implement appropriate safeguards for international transfers, such as:

  • relying on adequacy decisions (where applicable); and/or
  • using standard contractual clauses and other lawful transfer mechanisms; and/or
  • implementing supplementary measures appropriate to the risk.

We retain Personal Data only for as long as necessary for the purposes described in this Privacy Policy, including:

  • LMS accounts and lifetime access: because we provide lifetime access to the online version of the course (where applicable), we may retain account and course access records while your account remains active and as needed to provide ongoing access and support.
  • Operational records: we retain communications, support records, and service delivery records as needed for legitimate business purposes.
  • Legal and financial records: we retain invoices, payment confirmations, and related records for the period required by applicable tax, accounting, and other legal obligations.
  • Security and fraud logs: we may retain certain technical logs for a limited period to maintain security, detect fraud, and troubleshoot issues.

You may request deletion of your account and related Personal Data, subject to legal retention requirements and our legitimate interests (see Section 8).

A. GDPR/UK GDPR Rights (EEA/UK)

Subject to applicable law and certain exceptions, you may have the right to:

  • Access your Personal Data and obtain a copy.
  • Rectify inaccurate or incomplete Personal Data.
  • Erase your Personal Data (“right to be forgotten”).
  • Restrict processing of your Personal Data.
  • Data portability (receive certain data in a structured, commonly used format).
  • Object to processing based on legitimate interests and to direct marketing.
  • Withdraw consent at any time where processing is based on consent.

You also have the right to lodge a complaint with your local data protection authority. If you are in the UK, this is the Information Commissioner’s Office (ICO).

B. CCPA/CPRA Rights (California)

If you are a California resident, subject to applicable law, you may have the right to:

  • Know the categories and specific pieces of Personal Information we collected about you, and the sources and purposes of collection.
  • Delete Personal Information we collected from you (subject to exceptions).
  • Correct inaccurate Personal Information.
  • Opt out of “sale” or “sharing” of Personal Information (as defined by California law).

Sale/Sharing: Accordemy® does not sell Personal Data. We do not share Personal Information for cross-context behavioral advertising in a manner that constitutes “sharing” under the CPRA.

You also have the right not to receive discriminatory treatment for exercising your privacy rights.

C. How to Exercise Your Rights

To request access, deletion, correction, or other rights, contact us at [email protected]. We may need to verify your identity and/or your authority to make the request. Authorized agents may submit requests where permitted by law.

D. Marketing Preferences

You can opt out of marketing emails at any time by using the unsubscribe link in our messages or by emailing [email protected]. You may still receive non-marketing communications (e.g., service and administrative messages).

We use cookies and similar technologies (such as pixels and local storage) to:

  • enable core website/LMS functionality (e.g., session management and security);
  • remember preferences;
  • measure and improve performance and user experience; and
  • help us understand how the Services are used.

Cookie Consent Notice (Non-Essential Cookies)

Where required by law, we will request your consent before placing non-essential cookies/trackers on your device. You can manage your cookie preferences through our cookie banner/tool (where available) and/or through your browser settings. If you disable certain cookies, some parts of the Services (including the LMS) may not function properly.

We will publish a separate Cookie Notice with detailed information about cookies and similar technologies used on the Services (including categories, purposes, and how to manage preferences). The Cookie Notice will be provided separately and will be incorporated by reference once available.

We maintain administrative, technical, and organizational measures designed to protect Personal Data against accidental or unlawful destruction, loss, alteration, unauthorized disclosure, or access. These measures include access controls and secure system configurations.

No method of transmission or storage is completely secure. We cannot guarantee absolute security.

Our Services are not directed to children under 13 (or under 16 where a higher age threshold applies under local law), and we do not knowingly collect Personal Data from children. If you believe a child has provided Personal Data to us, please contact us so we can take appropriate steps.

We may update this Privacy Policy from time to time to reflect changes in our practices, technologies, legal requirements, or other factors. When we do, we will revise the “Last Updated” date at the top of this policy. Material changes may also be communicated through the Services or by other appropriate means.
